This Privacy Policy explains how Stibe Mail ("Stibe", "we", "us") collects, uses, stores, and shares information when you use our business email platform at mail.stibe.in and related services (the "Service").

By creating an account or using the Service, you agree to this policy. If you do not agree, please do not use the Service.

Account & workspace data: name, email address, phone number (optional), company / workspace details, billing contact, and authentication credentials.

Email data: messages you send and receive, attachments, contacts, calendar events, labels, rules, and mailbox settings. This content is processed to provide email hosting, search, and delivery.

WhatsApp data: if you link your phone number and use WhatsApp features, we process your WhatsApp phone number, message content you send to our business number, and AI assistant conversation history to provide mail notifications and mailbox assistance.

Usage & technical data: IP address, browser/device type, access logs, audit events, and error diagnostics used for security, abuse prevention, and service reliability.

Payment data: billing records and payment status. Card/UPI details are processed by our payment provider (Razorpay); we do not store full payment card numbers.

• Provide, operate, and maintain the Service (mail, calendar, contacts, admin tools)
• Authenticate users and protect accounts
• Send transactional messages (OTP, billing, system notices)
• Deliver WhatsApp notifications and AI-assisted mail features when enabled
• Process payments and manage subscriptions
• Improve reliability, detect abuse, and comply with legal obligations

We do not sell your personal data.

When WhatsApp AI (Boss/Staff mode) is enabled for your account, message content may be sent to our AI provider (Groq) to generate replies, summarize mail, or draft responses. AI outputs are suggestions only — outbound email is never sent without your explicit confirmation.

We configure AI processing to use only your mailbox context and conversation history needed for the request. Do not share sensitive personal data in WhatsApp chat unless necessary.

WhatsApp messaging is delivered through Meta's WhatsApp Business Platform. When you message our business number or receive notifications, Meta processes data according to WhatsApp's Privacy Policy.

You can opt out of WhatsApp AI chat by asking your workspace admin to set your WhatsApp AI mode to "Off", or disable WhatsApp notifications on your user profile.

We use trusted providers to operate the Service, including:

• Cloud infrastructure and object storage (hosting, backups)
• Email engine (Stalwart) for mailbox delivery and storage
• Meta WhatsApp Cloud API (WhatsApp messaging)
• Groq (AI inference for WhatsApp assistant)
• Razorpay (payments)

These providers process data only as needed to perform their function and under contractual obligations consistent with this policy.

We retain account and mailbox data while your subscription is active. If you close your account, we delete or anonymize personal data within a reasonable period, except where retention is required for legal, security, or billing compliance (e.g. invoices, audit logs).

WhatsApp conversation history stored in our systems may be cleared when sessions expire or on request.

We use industry-standard measures including encryption in transit (TLS), access controls, tenant isolation, and audit logging. No method of transmission or storage is 100% secure; please use strong passwords and protect your credentials.

Depending on applicable law, you may have the right to:

• Access or correct your personal information
• Request deletion of your account and associated data
• Withdraw consent for optional features (e.g. WhatsApp notifications)
• Object to or restrict certain processing

The Service is intended for businesses and professionals. We do not knowingly collect data from children under 18. Contact us if you believe a child has provided personal data.

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated date. Continued use of the Service after changes constitutes acceptance.
